Evergreen Valley College Improves Document Management with Nuance and Konica Minolta1 Jul, 2015
If you have 15,000 students all printing to a handful of printers in the same building, it’s going to be chaos.
At Evergreen Valley College in San Jose, California, student printing and copying was managed by a number of different devices, all located at the campus library. None of the printers/ copiers were capable of handling all of the students’ document management needs, so different devices were needed for different purposes. Students had to pay to output their documents, and often had to ask for change, leaving the librarians constantly managing a large amount of coins.
“We had printers from various vendors, multiple operating and application systems, and diverse needs for service and consumables,” says Eugenio Canoy, Campus Technology Support and Services Supervisor (CTSS). “The print environment was not integrated and prevented us from establishing a truly unified system across campus that optimized and streamlined printing.”
Konica Minolta had previously provided the school with administrative solutions, but student printing was not included in the contract. Then, in 2013, CTSS decided to revamp student printing. CTSS, which manages all college technologies, created more print locations on campus and improved student charge-back by eliminating multiple vendors and standardizing with Konica Minolta bizhub MFPs and Nuance Equitrac software.
From a service perspective, the cost effectiveness of the solution enabled the college to grow the number of student print locations from five to 12. New Konica Minolta bizhub MFPs were added to the student center, school labs and campus counseling areas to disperse print and copy volumes.
While the college previously had a pay-for-print program in place, the system had a cumbersome “cash only” requirement. Students had to go directly to the librarians and other staff to pay for print jobs. The new pay-for-print solution, integrated with the school’s Enterprise Resource Planning system, allows immediate and controlled charge-back to student accounts. This completely eliminated the involvement of library administration.
Standardizing on Konica Minolta MFPs also produced cost savings in consumables and other resources.
“Deploying an integrated and streamlined solution makes printing no longer a disruption to students and staff,” says Canoy. “It has become a seamless process that helps our students learn and Evergreen staff manage operations at peak efficiency.”
