Listening to the market, as in MPS providers as well as end-users, is a major key to NewField IT success. But listening to them only, wouldn’t have secured NewField IT’s recognized leadership position in the MPS/MCS industry.
We learned to also listen to those developing the future of work; drew conclusions to build visions and roadmaps and extracted four major trends to keep an eye on:
- Work is not a place it’s what you do
- Ubiquitous internet availability, computing, interoperability & smart software
- IT is increasingly consumer led
- Analytics is important but will increasing need machine based Synthesis
As a result we’ve been working hard build “The Office of the Future – A New Role for Paper” vision and roadmap (which, as we speak has in many parts become reality already).
Over the last 20 years the way we work, where we work and the tools that make our work productive have drastically changed.
Yes, 1995 was already becoming a hybrid world, partly paper-based, partly digital but far from what today would be considered seamlessly integrated. (Office) Processes relied on paper to be printed, faxed, filed or posted. Anything digital was either still in development or too expensive to be considered a process optimizing solution apart from the largest of organizations.
We have come a long and very steep path since. Digital dominates our domestic and work productivity. Paper is almost considered an impediment but has found a strong position as a personal mode of communication: eg the retro-trend for (holiday) greeting cards, or fax in many Asian countries.
NewField IT has undergone a radical de-paperization over the last 12 months: paper-based processes have been replaced by digital processes: internally we will only digi-sign documents. We encourage all business partners to submit any communication electronically; anything received on paper is scanned and routed into the appropriate workflow. The office workspace has been re-design to support different kinds of teams; the latest print management solutions allow follow me / secure document release only; MFDs offer personalized interfaces reflecting pre-defined workflow solutions for each individual; large screens provide performance relate analytics to teams updated every 15 minutes; collaboration technology extends the boundaries of our physical office to research groups and customers in other parts of the world in a way that makes them feel part of the same room.
The new way of working has reduced paper output by 34% in the first 6 months and as digital alternatives for the 4 main reasons for printing, share, save, read, annotate (incl. sign), come online we expect further reductions.
MPS is one of the best entry points to help customers with the paperless journey: Assess the customer, define the goals and develop a well paced roadmap, design the future state, deliver, monitor and verify changes. And where paper and related clicks disappear new revenue streams appear: scan, print management, mobile print solutions and consulting work around document workflow processes, not to mention data security and data analytics.
The most important pieces of advice we took away from all projects, even our own journey to print less are:
- Everyone, including the executives suite, has to embrace change
- We all have to walk the talk
Get fanatical about managing sources of record / data
- Organized, complete, accurate, audit trail
- Consistent and ongoing (change) communication
