The Province of South Holland wants to save on management costs associated with copying and printing. It also wants to reduce paper consumption by 40% less and decrease the call load on its service desk. In addition to this, the repro department must be more efficiently used.
The Solution & Approach
Océ installed 100 printers of the same type and connected them all to the network for optimal use within a FollowMe printing application. Efficient management was achieved with the Fleet Monitoring service module, an MPS portal that continuously monitors the status of all devices and transmits the information to the Océ Service Desk, enabling rapid onsite response. The workflow of the repro department was improved by installing three new, high volume devices and software that simplifies the printing process from acceptance to archiving. Staff were trained by Océ to ensure optimal use of the new working method.
End users can use their access key cards to retrieve their print job anywhere within the office, allowing for increased flexibility and insight in paper consumption. Powered by the Océ Fleet monitoring, toner and staples are always topped up and faults are handled efficiently. In this way, the customers ICT service desk has been relieved from time consuming print fleet management tasks. Using the electronic work order, jobs can easily be sent to the print room department, dropping costs per page and print load requirements on departmental multifunctional devices. Introducing new hardware and software provides more efficient processing resulting in the same number of people get more work done.
