Client:  School District in Northern MS

CLIENT OVERVIEW:  The school district services the K-12 public educational needs for a county in Northern MS.
BUSINESS CHALLENGE:  The district has been adversely affected by budgetary cuts and more cuts loom on the horizon. There is a need to reduce inefficiency and cut expenses throughout. The print and copy fleet is populated with antiquated devices that are not properly managed. Multiple device manufacturers and models make part and supply acquisition difficult. I.T. has the burden of maintaining a host of different print drivers. As a result, device functionality is not being properly leveraged.

There are many different equipment contracts in place that have staggered expiration's. These agreements need to be consolidated.

RJY’s CLIENT SOLUTION: The RJ Young ImageWORKS team worked with the school district to devise a plan. The plan involved identifying device make, physical location, device proximity, and device usage. This was done to identify consolidation opportunities and assist in decision making.

Software tools were installed on the customer’s network to capture device metrics. Client invoices were also evaluated to calculate a total monthly cost for the output fleet to the school district.

RESULTS: After the evaluation was complete and the data was analyzed, RJY was able to recommend an optimization strategy. The strategy involved leveraging existing assets where it made since to do so, removing high cost single-function devices, installing new multi-functional devices where applicable. A fleet service plan was implemented to cover all parts, supplies and labor.

As a result, billing was consolidated to a single invoice; model standardization was established to simplify device management, and service/supply baselines were put in place. Training procedures were also streamlined while I.T. gained more time to spend on core initiatives. End Users began to experience more device uptime and the school district was able to realize a substantial cost savings across the entire fleet.
