DocuWare Version 4.5 has More Power, Same Price
Document management specialist DocuWare has significantly
expanded the functionality of its core software program – yet its pricing
remains unchanged. DocuWare 4.5 now includes full-text indexing, integration
with Outlook/Exchange and automatic synchronization of user groups in a NT
network. Additionally, DVD support is available with an add-on module.
DocuWare 4.5 provides the user the
ability to store and retrieve all types of documents in a central document pool,
where any kind of information – from records and correspondence, to technical
drawings and e-mail – are all safely stored for simple retrieval. For this
reason, DocuWare, a pioneer in document management, places tremendous value on
the complete functionality of its flagship product, DocuWare 4.5. To add more
functions or customize the software for special applications, the DocuWare
system provides a series of add-on modules. This had included add-on modules for
full text indexing and integration with Outlook/Exchange. Now these components
are offered as part of the basic DocuWare document management system, all
without a price increase.
Searching and Retrieving in a
Unstructured information such as general correspondence, business letters, meeting notes and project details can be hard to file and retrieve –whether in paper or electronic form. Full-text retrieval, a powerful method of searching the text contained in a document, has made retrieving these kinds of documents easier. In previous versions of DocuWare, full-text retrieval was accomplished by using an add-on module called FULLTEXT. To make searching through data even faster and more efficient, DocuWare 4.5 has new full-text indexing capabilities integrated in the basic software package. A powerful indexing server reads the text from documents, and then writes it as full-text into an integrated Microsoft SQL database. In addition to the index criteria available, a user can now find a document based on every word contained within the document.
Every matching word in the document
is also specially highlighted for display, even on scanned paper documents.
Full-text indexing may even be used for previously stored documents in DocuWare
Integrating All Data Sources
E-mail is quickly becoming the most important communication tool in the business world. Storing e-mail can be awkward and cumbersome. To simplify filing e-mail messages from Outlook and Exchange along side other thematically related documents and files, DocuWare introduced the add-on module ACTIVE IMPORT. DocuWare 4.5 now contains a limited version of this powerful module within its standard software package. Additionally, this feature helps users easily integrate digital copiers within their system. These copiers are widely available today and often eliminate the need to invest in a separate scanner.
Synchronization in NT Networks
The function known as “Single Sign In” has been a standard feature of DocuWare for many years. Once a user has registered with the operating system, DocuWare automatically processes the ID information. Now things are getting easier for administrators as well: User groups are constantly synchronized with those in the NT or Windows-2000 network operating system. An administrator can now manage DocuWare users’ rights within a network domain. DocuWare developed this service with the help of Microsoft’s new Dot Net Technology.

By integrating some of the most popular add-on modules into the standard package of DocuWare 4.5, the document management user is able to access powerful functionality with the installation of one basic program. For other more custom applications, which may require such tools as Web access to incorporate outside offices/employees, or an interface with Lotus Notes/Domino, SAP R/3 or Ultimus Workflow, DocuWare has the solution with an array of powerful add-on modules.
