Lanier Introduces Web-based Doc Management for Sarbanes-Oxley Compliance

Lanier Worldwide, Inc. announced the launch of SOXDOX powered by DocumentMall, a Web-based repository that automatically manages, tracks, and secures critical documents to help corporate finance departments comply with Sarbanes-Oxley financial reporting and management guidelines. SOXDOX powered by DocumentMall will be available immediately.

“With the inception of the Sarbanes-Oxley Act of 2002, specifically section 404, publicly registered companies are required to document the efficiencies of their internal reporting controls,” said Dominic Pontrelli, vice president of Marketing for Lanier. “Unfortunately, this poses a significant challenge for companies: how to document and store critical information efficiently and cost-effectively.

“Traditional paper filing is labor-intensive and inconsistent; and many automated solutions are complicated and expensive. SOXDOX powered by DocumentMall is a powerful, yet affordable alternative. This easy-to-use, Web-hosted solution automates documentation, testing, and evaluation of internal controls with minimal IT support.”

With SOXDOX, auditors can scan critical documents from a digital multifunction product (MFP) and transmit electronic files directly to a password-protected, Web-hosted repository. Authorized users can make modifications and save revisions to these files, but the original documents are unaffected and can be reviewed at any time from any Web-connected PC.

Engineered specifically to meet the unique challenges of corporate governance, SOXDOX is a DocumentMall application that enables executives to efficiently manage compliance documents and adapt to changing statutory requirements.

Lanier’s DocumentMall is an encrypted, Web-based, off-site document management solution that enables easy management and storage of both electronic and paper documents. It does not require additional software or servers. Users simply submit content via the DocumentMall Web site or through a web-enabled MFP.

As with DocumentMall, SOXDOX is completely secure. It is password-protected and encrypts all data transmission. Administrators can control individual access to documents and the actions each user can perform. For example, an employee in accounts payable can be restricted from accessing confidential human resources documents. In addition, authorized users can log on to the site at any time, which enables individuals on a globally distributed team to review and edit the same document from multiple locations.

“SOXDOX enables corporations to improve accountability and reduce costs,” Pontrelli said. “It provides a reliable audit trail to record who opened a specific document and when it was opened. This offers proof that executive management has reviewed SOX 404 test results and has met internal reporting requirements.”

New process eliminates manual meter collection

Lanier announced it has upgraded its Device Relationship Management (DRM) service, @Remote, with an exclusive “No-Touch Meters” capability. This capability delivers meter data from connected devices directly to Lanier’s back-end billing systems through the highly secure @Remote infrastructure. The @Remote service with No-Touch Meters will be available immediately.

When the @Remote appliance with No-Touch Meters is attached to a customer network, it delivers meter data from connected digital multifunction products (MFPs) and printers directly to Lanier’s back-end billing systems using the same secure, one-way communications path @Remote uses to deliver other data streams. Delivery of meter data to Lanier automatically triggers invoice creation and delivery without human intervention.
